Summary of Functions:

The Donor Information Coordinator (DIC) is primarily responsible for the completed review of the tissue donor case files in a timely manner and in accordance with OneLegacy policies and procedures and regulatory requirements. The completed review includes but is not limited to obtaining corrections from OneLegacy staff, obtaining required documentation from agencies such as hospitals, ME/Coroner's offices, processors, laboratories, or other relevant government entities, and confirming that the donor case file is correct, accurate, and complete. The DIC will enter case information into databases as assigned, which may include digitalDonor and partners portals. The DIC will collaborate with the health departments that cover our Designated Service Area (DSA) as needed by reporting applicable cases outlined in OneLegacy policies and procedures. The DIC is responsible for ensuring the accuracy of donor information in donor databases. The DIC will work with the Supervisor of Donor Information to meet pre-determined chart completion goals. Performs all duties and responsibilities in compliance with policies and procedures, regulations as outlined in the Code of Federal Regulations, and other applicable federal, state, and local laws.

Duties & Responsibilities: Essential Job Functions:

Coordinates Completion of Donor Case Files

1. Facilitates and maintains primary responsibility for the timely completion tissue donor case files in compliance with OneLegacy Policies and Procedure, processors requirements, and local, state, and federal regulations.

2. Expedites the donor case file review and the resolution of issues identified as expedited tissue such as ocular donors or fresh tissue grafts by communicating with the ocular/tissue processor(s) via daily pending list or email.

3. Communicates to all necessary parties of any positive infectious transmissible disease per OneLegacy policy and procedures.

4. Liaisons with tissue processors as assigned. Responds to processor requests (processor pending lists) for outstanding information or corrections to donor case files.

5. Ensures timely provision of donor related documents, laboratory results and information to processors.

6. Monitors and tracks recovery staff department's documentation practices and provide constructive feedback to recovery staff to improve performance.

7. Obtains medical records, laboratory results, autopsy reports, death certificates, and other required information or documentation necessary to complete the donor case file. Shares information with processors as deemed necessary.

8. Copies or scans charts as required.

9. Proposes, creates, implements, and/or maintains systems (i.e., spreadsheets or database) needed to monitor, track, and expedite the completion of the donor case file.

Donor Records Coordinator Coverage

1. Serves as a back-up Donor Records Coordinator to perform all aspects required for incoming donor chart and associated paperwork processing.

Other Responsibilities

1. Represents OneLegacy and provides customer service in a professional manner when working with funeral homes, ME/Coroner, processors, hospitals, patients, guests, physicians, staff and other customers/vendors.

2. Attends department staff meetings, and any other meetings as required.

3. Performs all duties and responsibilities in compliance with safety guidelines, policies and procedures, regulations as outlined in the Code of Federal Regulations, and other applicable federal, state and local laws.

a. Performs quality control practices as defined by the policies and procedures.

4. Supports the organization's Standards of Professional Conduct as outlined in the OneLegacy Policies and Procedures, and the mission, vision and values of the organization.

5. Maintains a neat and organized work station and environment.

6. Performs other duties and projects as assigned.

Job Qualifications and Requirements:

Education: Bachelor's degree (BS) from an accredited four-year college or university, completion of Surgical Technologist, EMT program, or LVN program with state certification required.

Experience: A minimum of two years recovery experience in organ or tissue banking is preferred. CTBS certification required to be obtained within 2 years of employment.

Salary Range: $46,675.20-$67,683.20

Position Summary: The Revenue Cycle Manager is responsible for overseeing revenue cycle management including coding, billing, collections, and denial management as well as financial reporting within the organization. They will be responsible for setting the annual practice fee schedule. This position is to stay apprised of coding and revenue trends; and is responsible for coding education to clinical and coding/billing staff. Preferred Education and Qualifications:

  • 3 years healthcare experience at the management level
  • Certified coder, coding auditor, or coding education experience

Essential Functions:

  1. Oversee and manage entire revenue cycle including billing, coding, collections, and denial management
  1. Manage relationships with external vendors for practice management software and clearinghouse vendor
  2. Communicate professionally with various payers
  3. Manage, develop, and mentor all revenue department staff, including billers and coders and RCM/Admissions Supervisor
  4. Teams with the operations team to oversee the registration process and manage the registration process team
  5. Responsible for management and maintenance of billing and practice management software platform
  6. Provide up to date education for clinical, billing, and coding staff on coding trends
  7. Develops, evaluates, implements, and revises policies and procedures related to billing, coding, reimbursement activities and improvement strategies
  8. Reconcile all receivables and revenue reports and work closely with the finance department in the development of the monthly financial statements
  9. Manage and update the charge master based on the current CMS fee schedule and negotiated contracts
  10. Conduct monthly analysis of Medicaid/Third Party Payers
  11. Oversees the processing of credentialing and provider enrollment applications, initial, and re-enrollment status with all Medicaid, Medicare, and Commercial Payors
  12. Responsible for the generation and management of revenue, registration and credentialing metric reports
  13. Review and resolve issues related to claim generation and rejected/denied billings
  14. Commit to highest level of business and patient confidentiality possible adhering to all HIPAA and security guidelines when accessing and sharing patient information
  15. Technical expert for practice management system (eg. Mod Med)
  16. Keeps abreast of all reimbursement billing procedures of third party and private insurance payers and government regulations
  17. Maintains appropriate internal controls over accounts receivable, RCM process
  18. Monitors accounts sent for collection and reimbursements from insurance companies and other third-party payers
  19. Reviews, monitors, and evaluates third party reimbursement and researches variances
  20. Participates in the development of coding and billing strategies, evaluating process relative to revenue cycle, and making recommendations while ensuring compliance with any relevant rules or regulations (including HIPAA, Medicaid, government and specific 3rd Party Payors)
  1. Working understanding and ability to perform the task of staff members under your supervision
  2. All other duties as assigned

Lifting Requirements

Sedentary- generally, lifting not more then 50 lbs. maximum and occasionally lifting and/or carrying such articles as reports, files and small items.
